Privacy Policy

This Privacy Policy describes how TeeRoster LLC ("Company," "we," "us," or "our") collects, uses, and discloses information about you when you use the TeeRoster platform, website, and mobile applications (collectively, the "Service"). By using the Service, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

Information You Provide

When you create an account, book tee times, or interact with other features of the Service, we may collect the following information:

• Account information: name, email address, and profile photo. We do not ask for or store a phone number.
• Golf preferences: handicap index, preferred courses, playing frequency, skill level, and equipment preferences
• Tee time data: tee time reservations, group invitations, and course reviews
• Competition entry payments: when a competition organizer charges an entry fee, we record the amount, the currency, whether the payment succeeded or was refunded, and the Stripe identifiers for that transaction. Card numbers and billing details are collected and stored by Stripe, our payment processor. TeeRoster never receives or stores your card details.
• Communications: messages sent to other users, support requests, and feedback

Information Collected Automatically

• Device data: IP address, browser type, operating system, device identifiers, and screen resolution
• Location data: approximate geographic location based on your IP address, and precise location if you grant permission, to display nearby courses and relevant tee times
• Usage data: pages visited, features used, search queries, click patterns, and session duration

2. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the Service, including tee time search, booking, and social features
• Personalize your experience by recommending courses, suggesting playing partners, and displaying relevant content
• Process transactions and send related information, including booking confirmations and receipts
• Send administrative notifications such as updates, security alerts, and support messages
• Respond to your comments, questions, and customer service requests
• Analyze usage trends and preferences to improve our products and develop new features
• Detect, prevent, and address fraud, abuse, and technical issues
• Comply with legal obligations and enforce our Terms of Service

3. Sharing & Disclosure

We do not sell your personal information. We may share your information in the following circumstances:

• Other players on your tee time: your name and the scores recorded for a round are visible to the other players on that booking, and to anyone you share a scorecard link with. TeeRoster does not transmit your information to golf courses — bookings are recorded in TeeRoster, and we pull course details (names, holes, yardages) inbound from a course data provider without sending anything about you.
• Other users: Your profile information, handicap, and booking activity may be visible to users you connect with or invite to tee times, based on your privacy settings
• Service providers: We engage trusted third-party companies to perform services on our behalf, including payment processing, data analytics, email delivery, and hosting
• Competition organizers: when you pay an entry fee, the organizer of that competition is the merchant. Stripe shares the transaction with them, including your name and email address, so they can run the competition and issue refunds. They do not receive your card details either.
• Legal requirements: We may disclose your information if required to do so by law or in the good faith belief that such action is necessary to comply with a legal obligation, protect our rights, or ensure the safety of our users
• Business transfers: In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction

4. Service Providers

We use a small number of vendors to run TeeRoster. Each one is bound by a data processing agreement, may only use your data to provide the service to us, and is listed here with what it handles and where.

We do not sell your personal information, and we do not share it with advertisers or data brokers. TeeRoster has no advertising SDK and no analytics SDK.

5. International Transfers

TeeRoster is operated from the United States and every provider above stores data in the United States. If you use the Service from the European Economic Area, the United Kingdom, or Switzerland, your personal information is transferred to and processed in the United States.

Where that transfer requires a safeguard under applicable law, it is made under the European Commission's Standard Contractual Clauses, or under the EU-US Data Privacy Framework where the provider is certified. You may request a copy of the safeguards that apply to a specific provider by writing to privacy@teeroster.com.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you the Service. We will also retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

Payment records for competition entry fees are retained for seven (7) years to meet financial and tax reporting obligations. These are transaction records — amount, currency, status and Stripe identifiers — not card details, which we never receive.

When you delete your account from Settings, your profile, rounds, bookings, messages, friendships and notifications are removed from our live database immediately, and your identity is deleted at our authentication provider so it cannot be used to sign in again. Encrypted database backups roll off within thirty-five (35) days, after which the deleted data is gone from those too. Error diagnostics held by Sentry are deleted within ninety (90) days.

Some records survive deletion because they are no longer personal to you or because we are required to keep them: the payment records described above, and rounds you scored as part of another player's group, which remain on that player's scorecard with your name removed.

7. Your Rights

All Users

Two of these rights are self-service, in Settings → Account, on both the web app and the iOS app. You do not need to email us or wait on us:

• Download My Data — a JSON copy of your profile, bookings, rounds, reviews, messages, friends and activity. It excludes other players' data, which is their personal information rather than yours.
• Delete Account — erases your data as described in Data Retention above, and deletes your sign-in identity so the account cannot be restored.

You can correct your profile at any time in Settings. For anything else — objecting to a use, restricting processing, or a question about this policy — write to privacy@teeroster.com and we will respond within 30 days.

California Residents (CCPA)

If you are a California resident, you have the right to: (a) know what personal information we collect, use, and disclose about you; (b) request deletion of your personal information; (c) opt out of the sale of your personal information (we do not sell your data); and (d) not be discriminated against for exercising your rights.

European Residents (GDPR)

If you are located in the European Economic Area, you have the right to access, rectify, port, and erase your data, as well as the right to restrict and object to certain processing of your data. To exercise these rights, contact us at privacy@teeroster.com.

8. Cookies & Tracking Technologies

We use cookies and similar tracking technologies to collect and track information and to improve the Service. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. For full details on the cookies we use and your choices, see our Cookie Policy.

9. Children's Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from them. We do not ask for a date of birth, so we hold no age data about anyone.

If we learn that we have collected personal information from a child under 13, we will delete it promptly. If you believe a child has given us information, write to privacy@teeroster.com and we will remove it.

Players aged 13 to 17 may use TeeRoster. Competition entry fees are paid through Stripe, which requires the payer to be 18 or older — so a minor cannot pay an entry fee directly.

10. Security

We implement industry-standard security measures to protect your personal information, including encryption in transit (TLS 1.3) and at rest, regular security audits, and access controls. However, no method of transmission over the Internet or method of electronic storage is completely secure. While we strive to protect your personal information, we cannot guarantee its absolute security.

11. Data Breach Notification

If a breach of security leads to the accidental or unlawful destruction, loss, alteration, or unauthorised disclosure of your personal information, and that breach is likely to result in a risk to your rights and freedoms, we will notify the relevant supervisory authority without undue delay and, where feasible, within 72 hours of becoming aware of it.

Where the breach is likely to result in a high risk to you, we will also notify you directly, without undue delay, at the email address on your account. That notice will describe what happened, what data was involved, what we are doing about it, and what you can do to protect yourself. We will notify affected residents and regulators wherever else applicable law requires it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new Privacy Policy on this page and updating the "Last updated" date. We encourage you to review this page periodically. Changes are effective when posted. For significant changes, we will provide additional notice via email or in-app notification.
